Follow Continuous Improvement with Mastermind Shruti Bhat- Limitations of 5 S methodology

While there are many benefits to implementing 55 workplace organization methodology, it is good to be aware of its potential limitations as well. The most common problems when implementing 5S include, but are not limited to, workplace problem misaddresses, struggles to change, deficiency of moral backing and misunderstanding the methodology in itself.

It is not easy to create change in the workplace and 5S is known to cause large changes to occur. People get used to their way of things and routines, which can be difficult to change, especially if there is resistance to doing so. Therefore, it is necessary to introduce and implement 5S in increments, or at a slow pace, in order to allow people to get used to the idea of doing things in a different way. It is best to allow them to incorporate aspects of 5S into their daily habits without completely disrupting their norm in one go.

Another way that this limitation can be overcome is to introduce 5S methodology’s concept during meetings and seeing their reaction. If the employees are interested in making the change, it will be that much easier to keep it going and to receive the necessary support.

5S methodology is also largely customizable and each company needs to find how it will benefit them in the best way. Therefore, it is not ideal to use a pre-existing 5S plan from another company in hopes that it will reap the same results. Generally speaking 5S gets rid of unnecessary things in the workplace, but the framework that is used must be altered to suit each unique situation. Some workplaces may find that frequently used materials need to be brought closer to their areas, whereas others may need to clean out and reorganize their primary work space.

5S has difficulty in excelling if it is not backed with moral support of the management and employees alike, regardless of the type of organization or industry vertical. Management is required to monitor, evaluate and provide an example as to how 5S should work, as well as provide adequate staff and financial support. Some organizations implement methodologies such as 5S and expect it to turn things around on its own. But this is not accurate, they are needed to be carefully implemented and monitored, even after success has been reached. It is also necessary to know exactly how 5S can benefit the company and not give it more expectations than it can fulfill.

Follow Continuous Improvement with Mastermind Shruti Bhat-Advantages of 5 S methodology

5S is a means of organization within a workplace that caters to the aesthetic aspects of a company, or area, and helps improve efficiency as well as many other benefits. The 5 S’s in the name stand for different and combined ways in which 5S can be implemented and monitored. The reason for 5S’ success is due to the fact that it helps those who choose to implement it develop a cleaner, more organized and standardized workplace.

There are many advantages to choosing to use 5S in the workplace. One of the most important aspects of 5S is to get rid of items that are unnecessary, such as materials, supplies and tools that are unused. This allows for greater efficiency by making it easier to find necessary items. It also encourages labeling, placing and organizing frequently
used materials, tools and supplies in order to make them more accessible. In combination, these techniques allow time to be spent in a more productive manner and results in less wasted time.

Another reason that organization helps a company is that the frequently used items are placed in locations that are within one’s general area. This allows for employees to have more energy and also contributes to the overall safety of a workplace.

Getting rid of unnecessary materials, equipment and tools as well as keeping areas clutter-free contributes to a lot more space. Space ends up costing money to a company and can be used in more beneficial ways once it is cleared. Whether it is cost of heating, cooling, rental, cleaning or maintaining the area, when there is less junk there is less money spent on maintenance and upkeep of the space.

Another benefit of having a clutter-free and clean area is that it is easier to detect when something is wrong, such as failures or defects. This makes it easier to prevent problems from occurring, or to take care of them before they become even more problematic. A good example of this is a printer that is leaking. If there is a lot of clutter, it can be hard to notice that the ink is spilling or dripping, however if the area is cleared, the leak can easily be notice and fixed.

Safety is a big issue that 5S addresses, by allowing clutter-free spaces to be monitored with ease. Having the necessary materials and tools saves time and improves efficiency, whilst lowering the risks of injury related to searching for these materials. Through standardization, practices that are deemed unsafe are not used. Employees have the ability to notice errors and to make necessary changes.

Follow Continuous Improvement with Mastermind Shruti Bhat-  What is 5 S methodology

11/18/2013

5S workplace organization methodology implies a basis of improving an organization and is a vital aspect to creating an aesthetically pleasing workplace.
what is 5S methodology
5S was developed by Hiroyuki Hirano. However, the methodology is incorporated into the broader Kaizen methodology, which helps a company to improve continuously. 5S emphasizes organization, aesthetic order, standardization and cleanliness. The reason that 5S is often used is because it has been found to raise efficiency, profitability, safety and service. Therefore, 5S may also be referred as a “ Cycle of efficiency”.

It may sound like it is a given to incorporate these aspects into a business, but many fail to do so correctly.  Implementing 5S allows the company to evaluate, monitor and change their company to suit these standards.

The 5S methodology stands for five primary 5S phases: Sorting (in Japanese: Seiri),, Streamlining workflow (in Japanese: Seiton), Systematic cleaning (in Japanese: Seiso), Standardizing (in Japanese: Seiketsu) and Sustaining (in Japanese: Shitsuke).  Also known as- Sort, Set in Order, Shine, Standardize and Sustain.

In terms of 5S, Sort refers to a tagging system known as the “Red Tag Technique.” Using this rule, those that are not sure of the use of an item are meant to move the item and discuss its necessity, or get rid of it completely (if it is not required). Set in Order refers to every item having its designated spot, therefore nothing is out of place and everything that is in place has a role.

Shine refers to monitoring and keeping areas clean via continuous, or frequent, cleaning and inspection. Standardize means that the rules that have been implemented in hopes of keeping 5S working well, are required to be followed. Sustain refers to implementing 5S and the various techniques into a daily work schedule, thereby causing it to become habitual and stopping former disarray- habits from returning.

All kinds of businesses can benefit from using 5S methodology. It is most commonly found in the manufacturing industry sector, but is also very popular amongst professional services, government offices, hospitals, office areas, libraries, hotels, warehouses, departmental stores, city premises, transportation and more. This methodology is also ideal for using in office areas, especially those that have shared areas. Conference rooms benefit from using 5S since it helps contribute to the success of meetings.

5S focuses largely on the aesthetic aspect of a business, which helps raise efficiency, safety and simplicity. It can also be implemented in individual areas (such as certain open office areas, etc) and differ between rooms, which allows it to be more lenient and appreciated by those that see the necessity of implementing it.

Usually, Managers are in charge of regulating and evaluating 5S functioning. This helps make it a more credible action and gain momentum as well.
